How to manage employee availability for shift scheduling

Availability is often treated as one yes-or-no field, but real schedules need a more useful model. A person may prefer evenings, be on leave next Tuesday, follow a repeating four-on/four-off cycle, or be eligible for only certain locations.

Manage employee availability by separating date-specific unavailability, recurring work patterns, shift and weekday preferences, location suitability, and weekly-hour limits. These inputs describe different scheduling realities and should not be collapsed into a single availability flag.

Use leave for date-specific unavailability

Recorded leave should block scheduling for the affected dates rather than merely lower an employee's ranking.

Use work patterns for recurring cycles

A repeating work/rest pattern describes a recurring structure that is different from a simple preferred weekday.

Understand liked, disliked, and clear preferences

In ElShift, liked weekdays and shift templates improve ranking among otherwise eligible employees, while disliked weekdays or templates block Auto-Assign for that choice. Clear leaves the option neutral. Location suitability has its own eligibility behavior and should be configured deliberately.

Use hour limits to control workload

Weekly limits can remove an employee from consideration once another assignment would exceed the configured cap.

Do not assume free-form time-window availability

ElShift currently models weekday and shift-template preferences, leave, work patterns, location suitability, and weekly-hour limits. It does not currently provide arbitrary employee-entered intra-day or split availability windows.
